December Meeting

Hey guys!
We would like to apologize if you were unable to hear us during today’s meeting. To make up for it, here is a meeting overview!!
  • Hoodie Design
Hoodie designs have been out for a while now and we need your help in determining our final design! The survey will close at today at 11 PM. Please remember that the more people that purchase, the cheaper the hoodie would be!
  • Instagram
We are currently trying to expand our instagram account and we need your help! We have decided to implement a new and easy system that will not only allow us to see your beautiful faces on our instagram, but also allow YOU to earn points! Please submit photos that you have taken during H.O.P.E. events and email them to us at bthshope@gmail.com with the email titled "H.O.P.E. Photos." Remember to provide your name and osis! If your photo gets chosen to be featured on our instagram, you will get 5 points for that photo.
  • Winter Wonderland
Our Winter Wonderland Holiday Party will be taking place next week! Ticket sales have started yesterday and will end on the 13th. Please remember that seats are limited!!! Tickets are 10 dollars each and worth 20 points. DO NOT LOSE YOUR TICKETS because your tickets will be used to count sign-ins. Note that on the day of the event, we will be giving you wristbands in exchange for your ticket. DO NOT LOSE THE WRISTBANDS OR ELSE you will not be served food.
REASONS WHY YOU SHOULD GO TO WINTER WONDERLAND
- We prepared a lot of FUN ACTIVITIES for you guys to participate in and as usual, if you win a game, you will get….PRIZES!
- UNLIMITED FOOOOOD!!

  • St. John’s Bread and Life
The St. John’s Bread and Life event is coming up this weekend and we have a few spots left. The sign up is currently open so you may sign up for the remaining spots. We realized that we have made a mistake in our email concerning point changes for this event. Since shift 1 is 1 hour longer than shift 2, shift 1 should rightfully be worth more points.
Here are the new points conversions for St. John's
Shift 1 - 25 points
Shift 2 - 20 points
FULL SHIFT - 50 points
  • Meeting Locations
Because of Band and Chorus rehearsals, we have been moved up to the lunchroom. Our meeting locations will always be in the auditorium UNLESS specified. Also, please go out and support your fellow Chorus and Band members at their holiday performance!
  • Third Generation Executive Board
A LOT of you have been asking us this same question over and over and over again. “When are you guys going to pick 3rd gen?” Well we are only going to give you a HALF answer and that half answer is SOON. If you’re interested in applying, please free up your winter break because you will have a lot of filling out and writing to do. *wink wink* Let the excitement begin. :)

H.O.P.E. Mandatory Meeting Overview & Club Information

Hey guys,
First off, we would like to thank you all for being such a wonderful bunch at the meeting. Please email us pictures of you and your sprouts! (bthshope@gmail.com) We love to feature them at our instagram!

Here is an overview of our meeting. Please read all the points below for they are VERY important.

What is H.O.P.E.?
H.O.P.E. club is a community service club in Brooklyn Technical High School that focuses on providing help and happiness to many different causes and communities in need. In order to accomplish the goal of our club, we help our fellow students find and participate in various volunteer opportunities, make contributions to many different organizations, and plan many creative events that will hopefully make a huge impact in their lives. We hope that our efforts will be able to enlighten our peers about our community and help them create fun memories that will last a lifetime.

Meetings
We have meetings throughout the year and they usually take place on a Thursday, once a month, in the auditorium after 10th period. We have two different types of meetings: General and Mandatory. General meetings generally last approximately 10 - 15 minutes long and are worth 10 points. Those who do not attend will not receive any point deductions for these meetings are optional. Mandatory meetings are, as it’s title implies, MANDATORY. They generally last longer and are also worth 10 points. However, failure to attend these meetings will result to a 15 point deduction.

Points + Club Credits Community Service Hours
Our club gives out 16 club credits to members who fulfill our 200 point requirement. We use the point system to keep track of the amount of work you have done in this club. Members can receive points by participating in volunteering events, fundraisers, drives, in-school events, and more. Partial club credit will still be rewarded but they will be given based on the amount of points you earned. Point updates will be sent throughout the year. Community service hours can be earned by attending events that are outside of school and usually on weekends. The amount of hours you receive corresponds with the amount of hours you volunteered for. All letters of community service will be given at the end of the year. Normally, you would have to give one copy to Ms. Yvette in room 7C1 and one copy to your guidance counselor, but we take care of the hours you earn through H.O.P.E. for 7C1. You will only need to give a copy to you guidance counselor.

Events + In-School Events + Fundraisers + Drives + Donations
Since we are a community service club, most of our events will obviously take place outside of school. We participate in many events such as galas, food pantries, carnivals, festivals and more. We also host many in-school events, fundraisers, drives, and donations. Those are simple ways for those who are usually busy during weekends to earn points during school hours. We will also be hosting a mandatory fundraiser during the middle of the school year but more details will be sent out when the date approaches. Emails, facebook posts, and website posts with the necessary information will be sent out each time an activity is released.

MySignUps + Google Forms
We generally use a site called MySignUp where members can click a spot and fill in their name, OSIS #, email, phone number, and occasionally t-shirt size to sign up for an event. The link to the MySignUp is always provided in the email along with all the details for the event. The MySignUp will open and close at a certain date/time so it is imperative for members to complete all necessary information accurately within that time limit. Once the MySignUp closes, anyone who suddenly has an emergency and cannot attend the event must email us at bthshope@gmail.com. (For more information, go to “Request for Excusals”) If the event is unlimited, we will send out a Google Form instead. When signing up, members are to input their FIRST AND LAST NAME and provide us the correct OSIS number. There has been an issue where members have been inputting their phones numbers as OSIS numbers. It is imperative that we obtain your OSIS numbers for that is the number we use to input points and hours for record keeping. There has also been an issue where members have been signing up for multiple spots. You may not sign up for multiple spots under your name. WE WILL BEGIN REMOVING SPOTS. If you wish to reserve spots for a friend, please ensure that all their information is accurate before the signup closes.

Request for Excusal
If you are unable to attend an event or a meeting, you must email us at bthshope@gmail.com with the subject titled, “Request for Excusal” and your name, OSIS, and the reason why you are unable to attend in the context. If your reason gets approved, you will not receive any point deductions. You will get a response to your email in regards to whether or not there will be point deductions. ONLY VALID EXCUSES WILL BE ACCEPTED. If you have a doctor’s appointment, please provide us with a picture of your doctor’s note. Failure to send us a “Request for Excusal” will result to point deductions. You will lose the same amount of points the event is worth if you do not show up at the event you have signed up for and lose 15 points if you do not show up to a mandatory meeting.

Waiting List
The waiting list allows those who did not get a spot on the MySignUp sheet a chance to go to events as a substitute. We will not have a waiting list for every event but for selected events. The waiting list, which will be in google form format, will be sent out a few days AFTER signup closes. Even if you fill out the form, it does NOT guarantee you a spot at the event. Substitutes will be notified through email as soon as a person who has signed up on the sheet tell us that she/he is unable to go. You must reply within 24 hours to guarantee spot at this event or else we will move on to the next person on the list.

Attendance
At least one executive will always be present to take attendance at events. You must sign in and sign out with an executive at the beginning and end of each event to receive the points and community service hours. If you fail to either sign in or sign out, you will not get any points or hours. For meetings, your attendance will be taken through the swipe-in machines at the entrance in the center section. Make sure to swipe-in or you will not receive the points you deserve.

Coinciding Events
Since there are a number of volunteer clubs in Tech, there will be times where other clubs will have the same events as H.O.P.E. However, if you sign up to help out at an event for another club, please don't sign up for the same event for H.O.P.E. as well. You will not get points and hours for both clubs unless otherwise stated. For some events/activities, such as Treats for Teachers and the past Relay for Life event, you will be able to earn points for all the participating clubs you're in.

Conduct in Events
When you sign up and attend an event, you are basically making a promise to the organization that you will help them get the necessary tasks done. While we encourage everyone to have fun at our events, all members must still exhibit good behavior.

Google Groups
Google groups is a system that allows us to send multiple emails to a large group of people without having to hit the email limit. Everyone should be in our google group within the next two weeks. Email confirmations from our google groups server will be sent out to each person to notify that you are in our official mailing list.

Email Problems
There has been a few people who have not been receiving emails. There are three possible reason why:
  1. You did not fill out the application
  2. You did not provide us the correct email
  3. It is a mistake on our part
If you are not receiving any emails or if a friend is not receiving any emails, please email us at bthshope.gmail.com so we may resolve this issue ASAP.

H.O.P.E. Merchandise
Hoodie designs are estimated to come out sometime in December. So to those who wish to purchase a hoodie, we would like to ask you to please wait a little while longer! We would also like to thank those who purchased the bean sprouts. If you were not able to purchase them today, you will have other opportunities later in the year to do so!

October Mandatory Meeting Overview

Here's an overview of the mandatory meeting. If you didn't attend the meeting, you will receive a 20 point deduction.

For those who don't already know, H.O.P.E. is a community service/volunteer-based club that provides volunteer opportunities to help you all gain a deeper insight on the community. We offer a variety of events, which include but are not limited to runs/walks, festivals, carnivals, fairs, food pantries, and others. We want our members to not only be able to help out in the community, but also gain a memorable experience, enjoy themselves, and meet new people whether it be upperclassmen, underclassmen, or people outside of the school. 

Reminders:
- Saturday, October 17th: Marco Polo Festival
- Sunday, October 18th: Brooklyn Greenway Half and 5K + Japan Block Fair - Onigiri
- Monday, October 19th: Last day to bring in candy/chocolate for Treats for Teachers

For Members Who Signed Up on October 14th or After
You guys have now officially been added to our member list! Since the meeting was mandatory, normally, we would take off 20 points for those who didn't attend. However, since you guys weren't added to the list until tonight, you won't receive any point deductions for not attending. Just make sure to attend future mandatory meetings!

Meetings: General + Mandatory
Throughout the year, there will be general meetings and mandatory meetings. For both types of meetings, you will earn 10 points for attending. General meetings will account for most of the meetings and you get to choose whether or not you would like to attend. No points will be deducted for not attending general meetings. Members MUST attend mandatory meetings or 20 points will be deducted. Meetings are always on Thursdays after 10th period in the auditorium, but this meeting was an exception since there are tours this month.  

Points + Club Credits + Community Service Hours
Three things you must get clear: points, club credits, and community service hours. Points are a way for us to determine the amount of work you've done so we can give you the club credits you deserve. The amount of points each event, in-school event, fundraiser, drive, and donation is worth is always included in the emails. There is a 200 points requirement for everyone who wants to get 16 club credits by the end of this school year. We will give a partial amount of club credits to those who don't fulfill the requirement. Points updates will be sent out throughout the year. Community service hours can be earned by attending events that are outside of school and usually on weekends. The amount of hours you get is based on how long you volunteered for each event. We will give you guys the proof of community service letters towards the end of the school year. Normally, you would have to give one copy to Ms. Yvette in room 7C1 and one copy to your guidance counselor, but we take care of the hours you earn through H.O.P.E. for 7C1. You will only need to give a copy to you guidance counselor. 

Events + In-School Events + Fundraisers + Drives + Donations
Most of our events are outside of school since H.O.P.E. focuses on community service; however, we also have in-school events, fundraisers, drives, and donations. The category for these events will be in brackets in the subject line of the emails we send. Most of our volunteer events take place during the months where it isn't as cold. When there are less events outside of school, we tend to have more fundraisers and drives to give you guys more chances to earn points. Every year, there is a mandatory fundraiser, but when the time comes, we will send out more information!

The content should include your name, OSIS #, the event you signed up for, and the reason why you cannot attend the event even though you signed up. You will get a response to your email in regards to whether or not there will be point deductions. All absences will only be excused if the reason is valid. For example, if you have a doctor's appointment, we can excuse you, but you must give us a doctor's note. Excuses such as "the event is too far," "the event is too early," "I don't want to go anymore," are not valid reasons. We will give you guys all the information as well as a Google Maps link for the location of the event beforehand, so make sure to read through everything before you sign up.

Attendance

Point Deductions
Failure to attend an event that you signed up for will result in a point deduction of the same amount of points the event is worth. If you don't attend a mandatory meeting, 20 points will be deducted as well. Signing up for an event is making a commitment to help out, so please don't sign up if you're not going to show up. 

Hoodie/Crew Neck/ V-Neck T-Shirt
Last year, we got crew necks for H.O.P.E., but this year, we want to see what the majority of you guys would like. Hoodies have hoods and keep you warm during the winter, but they're not really useful when the weather gets hotter. Crew necks tend to be more flexible for different weather conditions since it's not as thick as a hoodie or as light as a t-shirt. Rather than doing a regular round-necked t-shirt, we're thinking of v-necks as an option since it's not as suffocating as regular t-shirts and some people already have crew necks from last year so t-shirts will be useful during the hotter days of the year. If there is high demand for two of these options, then we will sell both. We will send out a survey within the next few days to get an idea of what you guys want. Keep in mind that hoodies would be more expensive whereas v-necks will be cheaper. Our Creative Coordinator, Wendy Lei, is currently in the process of designing the print.

For those who already have the crew neck, wearing it to events will earn you +5 points. This does not include meetings. 

Email + Facebook Group + Website + Instagram
You will receive emails from bthshope@gmail.com for all the events and activities that we have during the school year. Sometimes, the H.O.P.E. email reaches the limit for sending emails for the day, so you may receive emails from President Sandy Chan (schan3769@bths.edu) instead. If you haven't already, make sure to join our Facebook Group: Click Here! Also, if you have friends who would like to sign up, please tell them to find the member application on our website atbthshope.blogspot.com. We have an Instagram @bthshope where you can find photos from our events as well! Make sure to #bthshope if you post any photos from our events. 

Member Referrals
For each new member that you recruit, you will gain 5 points. The maximum you can earn by referring members is 15 points. Make sure to tell the new member to put your name in the section that says "If a friend/member/executive referred you to this club, please enter their full name."

For Members Who Emailed Regarding Excusals for the Mandatory Meeting

Message from the Executive Board:
Lastly, this meeting was a bit difficult for some of you since the executives didn't speak loud enough and there was chatter within the crowd of members. We apologize to those that were unable to hear us clearly and were disturbed by the noises in the crowd! For members who were being disruptive, please try to be cooperative at future meetings. We will greatly appreciate it!
