October Mandatory Meeting Overview

Here's an overview of the mandatory meeting. If you didn't attend the meeting, you will receive a 20 point deduction.

For those who don't already know, H.O.P.E. is a community service/volunteer-based club that provides volunteer opportunities to help you all gain a deeper insight on the community. We offer a variety of events, which include but are not limited to runs/walks, festivals, carnivals, fairs, food pantries, and others. We want our members to not only be able to help out in the community, but also gain a memorable experience, enjoy themselves, and meet new people whether it be upperclassmen, underclassmen, or people outside of the school. 

Reminders:
- Saturday, October 17th: Marco Polo Festival
- Sunday, October 18th: Brooklyn Greenway Half and 5K + Japan Block Fair - Onigiri
- Monday, October 19th: Last day to bring in candy/chocolate for Treats for Teachers

For Members Who Signed Up on October 14th or After
You guys have now officially been added to our member list! Since the meeting was mandatory, normally, we would take off 20 points for those who didn't attend. However, since you guys weren't added to the list until tonight, you won't receive any point deductions for not attending. Just make sure to attend future mandatory meetings!

Meetings: General + Mandatory
Throughout the year, there will be general meetings and mandatory meetings. For both types of meetings, you will earn 10 points for attending. General meetings will account for most of the meetings and you get to choose whether or not you would like to attend. No points will be deducted for not attending general meetings. Members MUST attend mandatory meetings or 20 points will be deducted. Meetings are always on Thursdays after 10th period in the auditorium, but this meeting was an exception since there are tours this month.  

Points + Club Credits + Community Service Hours
Three things you must get clear: points, club credits, and community service hours. Points are a way for us to determine the amount of work you've done so we can give you the club credits you deserve. The amount of points each event, in-school event, fundraiser, drive, and donation is worth is always included in the emails. There is a 200 points requirement for everyone who wants to get 16 club credits by the end of this school year. We will give a partial amount of club credits to those who don't fulfill the requirement. Points updates will be sent out throughout the year. Community service hours can be earned by attending events that are outside of school and usually on weekends. The amount of hours you get is based on how long you volunteered for each event. We will give you guys the proof of community service letters towards the end of the school year. Normally, you would have to give one copy to Ms. Yvette in room 7C1 and one copy to your guidance counselor, but we take care of the hours you earn through H.O.P.E. for 7C1. You will only need to give a copy to you guidance counselor. 

Events + In-School Events + Fundraisers + Drives + Donations
Most of our events are outside of school since H.O.P.E. focuses on community service; however, we also have in-school events, fundraisers, drives, and donations. The category for these events will be in brackets in the subject line of the emails we send. Most of our volunteer events take place during the months where it isn't as cold. When there are less events outside of school, we tend to have more fundraisers and drives to give you guys more chances to earn points. Every year, there is a mandatory fundraiser, but when the time comes, we will send out more information! 

MySignUps + Google Forms
We use a site called MySignUp where members can click a spot and fill in their name, OSIS #, email, phone number, and occasionally t-shirt size to sign up for an event. The link to the MySignUp is always provided in the email along with all the details for the event. The MySignUp will open and close at a certain date/time, so make sure you keep track of that. Once the MySignUp closes, anyone who suddenly has an emergency and cannot attend an event must email us. When the event is unlimited, we will send out a Google Form instead. Please put your FIRST AND LAST NAME when you sign up. This makes it easier for us to keep track of who's attending. If you are signing up for a friend, make sure the information is accurate before the sign up closes. 

Request for Excusals
All emails regarding absences must have "Request for Excusal" as the subject line. The content should include your name, OSIS #, the event you signed up for, and the reason why you cannot attend the event even though you signed up. You will get a response to your email in regards to whether or not there will be point deductions. All absences will only be excused if the reason is valid. For example, if you have a doctor's appointment, we can excuse you, but you must give us a doctor's note. Excuses such as "the event is too far," "the event is too early," "I don't want to go anymore," are not valid reasons. We will give you guys all the information as well as a Google Maps link for the location of the event beforehand, so make sure to read through everything before you sign up.

Attendance
At least one executive will always be present to take attendance at events. You must sign in and sign out with an executive at the beginning and end of each event to receive the points and community service hours. If you fail to either sign in or sign out, you will not get any points or hours. For meetings, your attendance will be taken through the swipe-in machines at the entrance in the center section. Make sure to swipe-in or you will not receive the points you deserve. 

Point Deductions
Failure to attend an event that you signed up for will result in a point deduction of the same amount of points the event is worth. If you don't attend a mandatory meeting, 20 points will be deducted as well. Signing up for an event is making a commitment to help out, so please don't sign up if you're not going to show up. 

Hoodie/Crew Neck/ V-Neck T-Shirt
Last year, we got crew necks for H.O.P.E., but this year, we want to see what the majority of you guys would like. Hoodies have hoods and keep you warm during the winter, but they're not really useful when the weather gets hotter. Crew necks tend to be more flexible for different weather conditions since it's not as thick as a hoodie or as light as a t-shirt. Rather than doing a regular round-necked t-shirt, we're thinking of v-necks as an option since it's not as suffocating as regular t-shirts and some people already have crew necks from last year so t-shirts will be useful during the hotter days of the year. If there is high demand for two of these options, then we will sell both. We will send out a survey within the next few days to get an idea of what you guys want. Keep in mind that hoodies would be more expensive whereas v-necks will be cheaper. Our Creative Coordinator, Wendy Lei, is currently in the process of designing the print.

For those who already have the crew neck, wearing it to events will earn you +5 points. This does not include meetings. 

Email + Facebook Group + Website + Instagram
You will receive emails from bthshope@gmail.com for all the events and activities that we have during the school year. Sometimes, the H.O.P.E. email reaches the limit for sending emails for the day, so you may receive emails from President Sandy Chan (schan3769@bths.edu) instead. If you haven't already, make sure to join our Facebook Group: Click Here! Also, if you have friends who would like to sign up, please tell them to find the member application on our website atbthshope.blogspot.com. We have an Instagram @bthshope where you can find photos from our events as well! Make sure to #bthshope if you post any photos from our events. 

Member Referrals
For each new member that you recruit, you will gain 5 points. The maximum you can earn by referring members is 15 points. Make sure to tell the new member to put your name in the section that says "If a friend/member/executive referred you to this club, please enter their full name."

Coinciding Events
Since there are a number of volunteer clubs in Tech, there will be times where other clubs will have the same events as H.O.P.E. However, if you sign up to help out at an event for another club, please don't sign up for the same event for H.O.P.E. as well. You will not get points and hours for both clubs unless otherwise stated. For some events/activities, such as Treats for Teachers and the past Relay for Life event, you will be able to earn points for all the participating clubs you're in. 

For Members Who Emailed Regarding Excusals for the Mandatory Meeting
Some of you did not get replies to your emails regarding excusals since the H.O.P.E. email reached the email limit yesterday. You will get a reply from President Sandy Chan's email (schan3769@bths.edu) by tomorrow.

Message from the Executive Board:
Lastly, this meeting was a bit difficult for some of you since the executives didn't speak loud enough and there was chatter within the crowd of members. We apologize to those that were unable to hear us clearly and were disturbed by the noises in the crowd! For members who were being disruptive, please try to be cooperative at future meetings. We will greatly appreciate it!

Selling Stickers for H.O.P.E. at Tomorrow's Meeting

At tomorrow's mandatory meeting, we will be selling H.O.P.E. stickers! There will be tables outside the auditorium where you can buy the stickers after the meeting. Each sticker will be $1 and you will get 5 points for buying one. The maximum you can earn is 20 points for buying four stickers.

Japan Block Fair - Onigiri

Table for Two will be promoting their World Food Day campaign, which lasts from October 16th to November 30th at the Japan Block Fair. We will be running the Table for Two booth where attendees can learn how to make onigiri! 

*Each person may only sign up for ONE SHIFT!

Update as of 10.15.15 - Table for Two just sent us more information about what we'll be doing at the Japan Block Fair this Sunday, October 18th so we just wanted to make sure you guys are updated! In addition to helping with onigiri-making, we will also be selling miso soup at the booth, selling Snapeas along the block, and explaining what Table for Two is to the customers of the booths who have agreed to support Table for Two.

Marco Polo Festival

Two Bridges Neighborhood Council will be hosting their 7th Annual Marco Polo Festival to celebrate the Chinatown & little Italy Historic District and the special relationship between the Chinese and Italian American communities of Manhattan's Chinatown & Little Italy. We will be setting up for the festival and marching in the procession by carrying banners and flags.

Mandatory Meeting Friday, this October 16th!!

We will be having a mandatory meeting this Friday, October 16th in the auditorium after 10th period. Please enter the auditorium through the center section where there will be swipe-in machines. That will be your attendance so make sure you swipe in. Information about the club and how it works will be discussed at this meeting. Everyone who shows up will get 10 points. Since this meeting is mandatory, members who do not attend will lose 20 points. We only have around 2-4 mandatory meetings a year, so it is imperative that you show up for them. Brooklyn Greenway Half and 5K

The Brooklyn Greenway will be having their 3rd Annual Brooklyn Greenway Half and 5K where runners will be able to go 13.1 miles along the Brooklyn Waterfront Greenway, allowing them to see the green areas funded by the organization. We will distribute medals to the runners at the finish line and cheer for them as well. 
*There will be a Japan Block Fair event on this day as well, but once we confirm the location, we will send it out!

The Brooklyn Take Steps for Crohn's & Colitis Walk is tomorrow, Sunday, October 11th at the Prospect Park Bandshell. Go in through the 9th Street and Prospect Park West entrance. Please be on time for whichever shift you signed up for. The times for Shift 1 (Set-up & Festival) is 7 A.M. to 1 P.M. and for Shift 2 (Breakdown/Clean-up) is 1 P.M. to 3 P.M. Meet the executives at the volunteer check-in tent to sign in and sign out. Also, attached (check your emails or Facebook) is the spreadsheet that has everyone's volunteer assignments for tomorrow, so make sure to check!

Fifth Avenue Presbyterian Church

We're going to have a fundraiser for the Fifth Avenue Presbyterian Church from Monday, October 5th to Friday, October 9th. 

The Fifth Avenue Presbyterian Church holds parties and festivals for children from homeless shelters throughout the year to make sure they don’t miss out on the fun that other children have. Last year, H.O.P.E. held a Holiday Drive to provide Christmas presents for the children and helped at the Fall Festival where the children participated in a variety games and activities. 

Please place the money and the attached donation form inside an envelope with your name, OSIS #, and H.O.P.E. and bring it to Mrs. Nottingham in room 1W2! If you cannot print the donation form, you will be able to find some copies in room 7C1 by Ms. Yvette's desk after 7th period tomorrow. 

You will be able to earn up to 20 points by raising $10!!!

Relay for Life Kickoff

Relay for Life is a fundraiser run by the American Cancer Society that raises awareness for cancer and funds for cancer research. The Relay for Life Kickoff will be this Tuesday, October 6th from 4 P.M. to around 6 P.M. in the auditorium. There will be entertainment and prizes. This in-school event will be 15 points. We will do sign-ins outside room 7C1 after 10th period and head down together as a group at 3:50 P.M. Make sure to be up there on time. There will also be sign-outs outside the auditorium after the event is over. As always, if you wear your H.O.P.E. crew neck, you will receive an extra 5 points.

Tomorrow is The Color Run! If you signed up, make sure to meet Jacky Jiang at the blue volunteer tent at Aviator Sports and Events Center, 3159 Flatbush Avenue, Brooklyn, NY 11234 by 7 A.M. Sign outs will be at the volunteer tent as well. According to the weather forecast, it will rain tomorrow morning, but The Color Run will still go on unless we get notified otherwise. Treats for Teachers!

It's the month of October, which means Halloween is just 30 days away!! :) In order to make this year's Halloween more memorable for the Tech community, we have decided to bring back TREATS FOR TEACHERS, except earlier!! :) 

Treats For Teachers is an event which shows teachers that we as students appreciate everything they do. What's a better way to show them appreciation than through sweets?! :)

WHEN: Monday, October 5, 2015 - Monday, October 19, 2015

WHERE: A box labeled "TREATS FOR TEACHERS" will be placed in room 7C1. You can put the bag(s) of candy in the box during your lunch period or after school if you do not have a lunch period!!

INSTRUCTIONS: Make sure to place your donations in a bag with a note that has the following information---your NAME, OSIS#, and a list of all the clubs you are in, from the clubs listed below in the point system section. If you do not follow these instructions, you will not be able to receive all the points that you deserve. 

REQUIREMENTS: Each bag of candy MUST be at least 10 ounces in order for us to count it. All candy inside the bag must be PACKAGED. We do not want scattered candy. 

THIS IS A GREAT OPPORTUNITY FOR EVERYONE TO NOT ONLY DO SOMETHING SUPER NICE, BUT ALSO EARN SOME POINTS TOO!! 

Aside from H.O.P.E., NHS, BETA, Red Cross, Key Club and Outreach are all participating!! This means that if you are in more than one of the clubs listed above, you will have the opportunity to earn points for all those clubs! :) 

POINT SYSTEM: Read the point system below carefully because not all the clubs are giving the same amount of points for each bag of candy. 

H.O.P.E. -- Maximum Points: 20 (10 points per bag) 
NHS -- Maximum Points: 20 (10 points per bag) 
BETA -- Maximum Points: 20 (10 points per bag) 
RED CROSS -- Maximum Points: 10 (5 points per bag)

Snapeas Distribution tomorrow!

Old members are probably familiar with the name "Table for Two" by now since we've had a few events with them over the past few months. For new members, Table for Two is an organization that addresses the imbalance between malnutrition and obesity around the world. They are currently partnering with Calbee to provide FREE bags of Snapeas, which are not only healthier than most snacks, but also delicious! For every bag that is distributed, Calbee will donate 25 cents to Table for Two to provide one healthy school meal to a hungry child in East Africa and our local community. 

H.O.P.E. will be distributing Snapeas in the center section of the cafeteria during lunch periods tomorrow, Thursday, October 1st. The Snapeas are limited to one bag per person, but everyone is welcome to come and take one! You'll be doing a good deed simply by taking a bag!
